How CRM Pricing Works for Canadian Teams

How CRM pricing works in Canada: CAD billing, GST/HST, seat minimums, onboarding fees and the add-ons that change the annual total.

Reviewed July 21, 2026Prices shown in CAD

The short answer

Compare annual totals, not seat prices. In Canada four things move the real number: whether the vendor publishes a CAD price list, whether seats are sold in blocks, whether a tier carries a mandatory onboarding fee, and how much of email and phone and calling is billed as metered usage on top.

How CRM pricing works in Canada

This page compares how CRM vendors *charge* Canadian teams, which is a different question from what HelloGrowthCRM's own plans cost. If you want the plan ladder and what each tier includes, the Canada pricing page has it. What follows is the structural comparison: currency, seat minimums, onboarding charges, metered usage and the add-ons that move the annual total.

Canadian teams evaluate almost every CRM against a US price list, which means currency conversion is part of the buying decision whether the vendor acknowledges it or not. Two local factors change the shortlist: CASL, which makes consent provenance on marketing email a genuine legal question rather than a best practice, and bilingual operation, where a Quebec-facing team needs French-language customer communication even when the CRM interface stays in English.

GST/HST applies at 13% in Canada and should be excluded on both sides when you compare, since vendors differ on whether they quote inclusive or exclusive figures.

Why the currency on the price list matters

A CRM that publishes only in a foreign currency hands you two costs that never appear on its pricing page: the exchange-rate spread applied at billing, and the movement between the month you budgeted and the month you paid. Over an annual contract for a growing team, that is a real line item that nobody forecast.

HelloGrowthCRM publishes a CAD price list for Canada -- Free Forever, Growth C$14/user/mo annual, Enterprise custom, 14-day trial on paid plans -- and accepts credit card, Stripe, PayPal and Interac e-Transfer, so the quoted figure and the invoiced figure are the same number.

Charging models compared for Canada

This table compares how each product bills rather than what it costs, because list prices change per market and per quarter. Sort by the constraint that applies to you -- local billing, seat minimums, onboarding fees or payment methods. It shows the 8 leading options; 4 further comparisons are linked below.

Capabilities describe how each product packages a feature -- included in the plan, sold as a separate product, or unavailable -- rather than how well it performs. They are assessed against each vendor's public product and pricing documentation and reviewed alongside this page. Vendors change packaging often, so confirm the current plan pages before you decide.

The four charges that change the annual total

Seat minimums come first: a plan sold in blocks means a five-person team frequently pays for more seats than it has. Mandatory onboarding fees come second, and they are usually attached to exactly the tier that carries the feature you are buying for.

Metered usage is third -- calling minutes, messaging volume, automation actions and AI credits are commonly billed on top of seats, so the true cost tracks activity rather than headcount. Add-on products are fourth, and they are the largest surprise in this market: covering email and phone and calling through separate products can cost more than the CRM licence it sits on.

Work out your annual total by taking the seat price for the team size you expect in twelve months, adding the add-ons needed to cover email and phone and calling, adding any onboarding charge, then adding expected metered usage. Compare that number, not the headline.

A worked example for a six-person team in Canada

Abstract pricing comparisons hide the thing that matters, so here is the arithmetic. Six seats on HelloGrowthCRM Growth at C$14/user/mo on annual billing comes to $84 a month, or $1,008 across a year before GST/HST. At 13%, GST/HST adds $131, giving $1,139 all in.

There is no onboarding charge to add to that, no seat block to round up to, and no separate subscription needed to cover email and phone or calling. Dialer minutes and AI credits beyond the plan allowance are metered, so a heavy outbound team should add an allowance for those -- but they are usage you can see and control rather than a fixed floor.

Now run the same arithmetic for the alternative you are considering. Take its seat price for six people, convert it into CAD if it is not published here, add any mandatory onboarding charge, add the add-on products needed to cover email and phone and calling, and add expected metered usage. Compare those two totals. In this market that comparison frequently reverses the ranking the headline seat prices suggested, which is the entire reason this page exists.

One caveat worth stating plainly: prices move, vendors repackage tiers, and exchange rates drift. Treat this as a method rather than a quotation, and confirm each vendor's current figures before you commit.

How each option is packaged for Canada

A capability table tells you what is included. It does not tell you what each product is trying to be, and that is usually what decides whether a team stays on it. Here is the honest version for each option on this shortlist.

HubSpot is a marketing-led growth platform. Teams whose growth is genuinely marketing-led and who will use the content, email and reporting stack together rather than the CRM alone. On billing for Canada: published in a handful of major currencies; other markets convert from those price lists. On email and phone: whatsApp arrives through the marketing product or a third-party connector rather than the core CRM. The cost buyers most often miss is that the published seat price is rarely the first-year cost: the professional tier adds a mandatory onboarding fee, and marketing contact tiers scale with your database rather than your team. Teams typically move on when the jump from the free CRM to the tier that carries the needed feature turns out to be several multiples of the expected budget.

Salesforce is a enterprise platform and ecosystem. Organisations with genuine process complexity, a dedicated administrator, and integration requirements that justify a platform rather than a product. On billing for Canada: major currencies are published; smaller markets convert. On email and phone: delivered through the messaging product or an AppExchange connector. The cost buyers most often miss is that the licence is the smaller half of the cost for most small teams; configuration and ongoing administration are the larger half, and both usually mean paid help. Teams typically move on when a small team discovers it is paying for a platform it uses a fraction of, and that changing anything requires an admin it does not employ.

Zoho CRM is a broad suite at a low entry price. Teams already committed to the Zoho suite for mail, books or campaigns, where staying inside one vendor's ecosystem has real value. On billing for Canada: billed from the US price list in most cases. On email and phone: full WhatsApp functionality typically involves an additional Zoho product. The cost buyers most often miss is that the CRM price is genuinely low; the cost arrives as the number of adjacent Zoho subscriptions needed to complete a workflow. Teams typically move on when a team using a tenth of the modules concludes it is paying in configuration effort for depth it will never reach.

Pipedrive is a focused visual sales pipeline. Deal-focused sales teams that want an uncluttered pipeline and do not need messaging and calling inside the same product. On billing for Canada: published in several major currencies; other markets convert. On email and phone: provided through marketplace connectors rather than the core product. The cost buyers most often miss is that the entry tier is clean and affordable; messaging, calling and lead-generation capabilities are separately priced add-ons that accumulate. Teams typically move on when the add-on stack needed to cover messaging and calling ends up costing more than a product that includes them.

Monday CRM is a work platform with a crm layer. Teams that already run projects and operations on the platform and want the sales pipeline living in the same place. On billing for Canada: major currencies published; other markets convert. On email and phone: through marketplace integrations rather than natively. The cost buyers most often miss is that seats are purchased in blocks, so a five-person team frequently pays for a larger block, and automation and integration actions are metered per month. Teams typically move on when the CRM layer proves to be a configured board rather than a sales product once calling and messaging are needed.

Keap is a small-business automation and follow-up. Owner-led service businesses that want marketing automation and follow-up sequences bundled with the contact database. On billing for Canada: billed from a single price list. On email and phone: not a supported channel. The cost buyers most often miss is that a compulsory onboarding charge applies at signup, and the plan price scales with contact count rather than seats. Teams typically move on when the contact-count pricing model becomes expensive as the database grows, independently of team size.

Attio is a modern, data-model-first crm. Technically confident teams that want to shape the CRM around an unusual sales motion rather than accept a standard lead-to-deal model. On billing for Canada: published in major currencies; other markets convert. On email and phone: through integrations rather than natively. The cost buyers most often miss is that nothing hidden in the pricing; the cost is the design work, because a fully flexible data model means somebody has to decide what the objects are before reps can use it. Teams typically move on when the flexibility that attracted the team becomes the reason nobody agrees on how records should be structured.

Insightly is a crm with project delivery attached. Teams whose sale continues into a delivery project and who want the handover from won deal to active project in one system. On billing for Canada: major currencies published; other markets convert. On email and phone: not a supported channel. The cost buyers most often miss is that the CRM tier alone rarely covers the workflow teams buy it for; marketing and service are priced as their own products on top. Teams typically move on when a team that only needed the sales half concludes it is paying for a delivery module it never opens.

Copper is a crm built around google workspace. Google Workspace teams that want the CRM to live inside Gmail rather than beside it. On billing for Canada: major currencies published; other markets convert. On email and phone: not a supported channel. The cost buyers most often miss is that the value depends entirely on staying inside Google Workspace; a team on Microsoft 365 pays the same price for much less of the product. Teams typically move on when the team moves to Microsoft 365, or needs messaging and calling the product does not cover.

ActiveCampaign is a marketing automation with a crm attached. Teams whose growth engine is genuinely email automation and who treat the pipeline as a downstream consequence of it. On billing for Canada: major currencies published; other markets convert. On email and phone: through integrations rather than natively. The cost buyers most often miss is that cost scales with your database, not your team, so a growing list raises the bill even when headcount is flat. Teams typically move on when contact-count pricing outgrows the value once the list is large but the sales team is still small.

GoHighLevel is a white-label platform for agencies. Marketing agencies that resell a CRM and automation stack to their own clients under their own brand. On billing for Canada: billed from a single price list. On email and phone: messaging channels supported with configuration. The cost buyers most often miss is that excellent value for an agency reselling to clients and poor value for a single sales team, because the floor is priced for a portfolio. Teams typically move on when a single business discovers it is paying agency-shaped pricing and administering a platform built for someone else's clients.

HelloGrowthCRM sits deliberately at the other end: one product covering pipeline, email and phone, calling and AI prioritisation, published at C$14/user/mo in CAD with a free tier that does not expire. That is a narrower proposition than a platform and a broader one than a pipeline tool, which is the trade to weigh.

GST/HST, payment methods and contracts in Canada

GST/HST at 13% should appear as a separate line, and a Canadian business will usually need a compliant tax invoice for it. Vendors billing from overseas do not always issue one in the form your accountant expects, which is a small administrative cost repeated every month.

Payment method is the other practical constraint: credit card, Stripe, PayPal and Interac e-Transfer are what Canadian buyers actually use, and a checkout that only accepts an international card creates friction at exactly the wrong moment. PIPEDA requires meaningful consent and access on request, and Quebec's Law 25 adds stricter notice and portability duties -- so a CRM used nationally needs per-contact export and a clear record of consent source.

Comparing like for like

The comparison table above is structural: it shows which products publish local pricing, which enforce seat minimums, which attach onboarding fees, and which include messaging and calling rather than selling them alongside. Sort by whichever column reflects your constraint.

Then check the result against your own numbers. If a lower seat price arrives with an onboarding fee and two add-ons, it is not a lower price -- it is a differently shaped one.
