Quick answer

Is HelloGrowthCRM right for Maritime Recruitment?

Yes. HelloGrowthCRM gives Maritime Recruitment a single system to capture every lead, automate follow-up across phone, WhatsApp, and email, prioritise leads with AI scoring, and forecast revenue — with calling and messaging built in instead of sold as add-ons. It's built for the problems these teams actually hit — like a seafarer confirmed for a joining is found, three days before flying, to have an STCW course that expires mid-contract, and the vacancy reopens with no time left — rather than generic sales busywork.
  • Vacancy records that match how principals ask: vessel, rank, sign-on date, joining port, contract length, wage scale and the superintendent who confirms the nomination
  • Crew pool searchable by rank, vessel type, last vessel, sign-off date, nationality preference of the principal, and the date they said they would be ready to sail again
  • Certificate validity tracking across CDC, INDoS, STCW courses, medical fitness and flag-state endorsements, with alerts before an expiry quietly removes someone from your available list

01

Crewing is a scheduling problem wearing a recruitment costume

Every vacancy is a date and a port, not a job description

A principal does not ask for a Second Engineer in general. They ask for a Second Engineer joining a product tanker at Jebel Ali on the eighteenth, relieving an officer whose contract ends that week. The date is the requirement. A nomination that arrives two days late is not a slower success, it is a failure, because the relief still has to happen and someone else will do it.

That is why a crewing desk needs a sign-on calendar rather than a pipeline of opportunities. Ninety days of confirmed joinings, laid out against vessels and ports, shows a crewing superintendent exactly which weeks are exposed. Vacancies without a confirmed nomination inside their lead time are the only list that matters on a Monday.

Availability changes underneath you

A seafarer who was available in March has joined another vessel by April, or has decided to stay home for a family reason, or has let a course lapse. Availability that is recorded once is fiction within weeks. It has to be a status that people update, tied to a sign-off date and a stated readiness date, so the pool you filter is a pool that could actually sail.

02

The document wall

The most expensive surprise in crewing is a ready seafarer who is not deployable. Medical fitness, CDC validity, STCW course refreshers, flag-state endorsements and visas all carry dates, and any one of them can remove a person from the list without anybody noticing. Worse, the check most desks perform is whether the document is valid today, when the real test is whether it is valid through the whole contract.

Holding expiries as dated fields with alerts changes both problems at once. The availability list stops containing people who cannot go, and a nomination that would expire mid-contract is flagged at proposal rather than three days before the flight, when the only remaining options are expensive.

03

Principals judge you on one number

Ship managers rarely evaluate a manning agent on how many CVs were sent. They evaluate on-time relief. Did the officer join on the planned date at the planned port. Every other metric is a proxy for that one. If your desk cannot show, per nomination, when it was proposed, when the principal approved it, when documents completed and when the seafarer joined, you cannot argue about your performance with evidence and you cannot improve it deliberately.

The weekly crewing review

Four views, every Monday. Vacancies inside their lead time with no confirmed nomination. Certificates expiring in the next sixty days among available crew. Crew signing off in the next six weeks who have not been re-offered. And nominations awaiting principal approval for more than four days. Together they take ten minutes and they cover almost everything that turns into a late relief. HelloGrowthCRM is ₹899 per user per month with no minimum seats and a free plan is available.

Challenges we solve

The problems holding this industry back — and the fix

Every team in this space loses revenue to the same recurring gaps. Here is what they cost you and how HelloGrowthCRM closes each one.

  • A seafarer confirmed for a joining is found, three days before flying, to have an STCW course that expires mid-contract, and the vacancy reopens with no time left.

Certificate validity is checked against the full contract period, not just today. Any nomination where a document expires before sign-off is flagged when the nomination is made, which is when it can still be fixed cheaply.Certificate validity alerts

  • Crew sign off, go home, and stop being tracked, so six months later the agency is advertising for the exact ranks it already had on its own list.

Every seafarer carries a sign-off date and a stated readiness date, and a re-engagement list surfaces them in the weeks before they are free. Your own returning crew becomes the first source rather than the forgotten one.Crew re-engagement lists

  • Two crewing officers work the same vacancy from different lists, and the principal receives two nominations for one seat with inconsistent details.

Each vacancy has one nomination pipeline with owners and stages visible to the whole desk. What was sent, when, and what the principal said is on the record instead of in two separate mail threads.Nomination pipeline

  • The principal asks why relief was late, and the agency can only reconstruct the delay from memory and a folder of emails.

Every nomination carries stage dates from proposal to joining, so the point where a file stalled is documented. On-time relief becomes a number you can improve rather than a complaint you absorb.Stage date tracking

What you get

Why teams choose HelloGrowthCRM

AI-powered CRM with the features you need to close more deals.

  • Sign-on calendar for the next ninety days: every confirmed joining shown against its vessel and port, so a clash or a gap is visible while there is still time to nominate
  • Nomination pipeline per vacancy: proposed, principal reviewing, approved, documents in progress, ticket issued, joined, with days-in-stage so a stalled nomination is not mistaken for a filled one
  • Principal account records holding vessels managed, ranks usually needed, wage scales, nomination approval habits and outstanding manning fees in one screen
  • WhatsApp inbox on a business number so a seafarer at home in Kerala or Goa confirms availability against their own record instead of in a crewing officer's personal chat
  • Built-in dialer for availability calling with one-tap outcomes, because a vacancy with an eleven-day sign-on needs answers today rather than a reply to an email next week
  • Re-engagement lists for crew signing off soon: everyone whose contract ends in the next six weeks, surfaced automatically so they are re-offered before another agency reaches them
  • Document collection checklists per nomination: passport, seaman book, visa, medical, vaccination and joining letter, showing exactly which item is blocking a joining
  • AI scoring on nomination fitness: rank match, vessel-type experience, principal preference history, certificate validity through the contract and past reliability at joining
  • Mobile app for crewing officers and branch staff: update availability, log a call and check the sign-on calendar from a maritime academy visit or a port office without a laptop
