The work happens before the show
Everything described here depends on decisions made in the fortnight before you travel. Agree the grading definitions and share them with everyone who will stand on the floor. Write the three follow-up message variants in advance, because nobody writes well on the evening of the third day. Block the first day back in every diary for follow-up rather than for expenses and email catch up. And decide what you are capturing, then practise entering it on a phone until it takes under a minute.
The single highest return preparation is the grading conversation. Five minutes explaining what counts as a live requirement, with an example, produces a sorted list on the journey home instead of a pile of cards and a week of guessing.
