Reason for the call

One sentence containing a specific hypothesis about this business. The specificity is the whole point: a generic problem statement announces that this is a mass call, while a claim about how businesses like theirs typically operate announces that some thought preceded the dial.

Permission

Ask whether the problem is real for them, and mean it. This is the step most often removed on the grounds that it invites a no. It does, and that is useful, because the alternative is a listener who has not agreed to the conversation and is looking for a way out of it.

Short discovery

Two or three questions, aimed at getting the problem described in their words. Not a qualification interrogation. The objective is a sentence you can quote back later, because a problem the buyer articulated is far stronger than one you asserted.

We work with building material dealers where enquiries come in on WhatsApp to individual reps, and then nobody at the office can tell which ones were quoted. Does that sound anything like your setup, or is that already handled?

Buyer: We do get a lot on WhatsApp. It is not ideal but we manage.

Caller: Most people say something similar. Out of interest, when it does go wrong, is it usually the enquiry itself getting lost, or the follow-up afterwards?

Buyer: Follow-up. We quote and then it just sits there unless the customer chases us.

Caller: That is the common one, and it is the more expensive of the two, because the work of quoting has already been done. Roughly how many quotes would go out in a month?

Buyer: A couple of hundred, maybe.

Caller: Then it is probably worth thirty minutes to look at how other dealers handle the chasing. Would Thursday at eleven work? I will send a short agenda beforehand so you can decide whether it is worth the time, and if it is not, tell me and we will drop it.

It named the caller, admitted the interruption, made one specific claim, offered an exit, asked two questions that made the buyer describe the problem themselves, established a rough scale, and closed on a dated next step with a stated way out.
