Get your data out first, and look at what came with it
Before you talk to any vendor, export from your current CRM: contacts, organisations, opportunities, activities, notes, custom fields and attachments. Open the files. Most switching pain comes from what does not export cleanly, typically attachments, call recordings, custom object relationships and anything living in a third-party add-on rather than the CRM itself. If something matters and does not export, decide now whether to archive it or rebuild it, because that decision costs an hour today and a week in the middle of a migration.
Time the move around your renewal, not around a discount
Check your own renewal date and notice period in your contract, and start the evaluation far enough ahead that you are choosing rather than reacting. Running the free plan of a new CRM in parallel for two or three weeks, with one territory or one product line live in it, tells you more than any demo. Keep the incumbent as the record of truth until the parallel run has survived a full follow-up cycle, including a month-end.
Budget the real migration work
Field mapping and import are the quick part. The work that takes real time is rebuilding stages so they mean something to your desk, re-registering WhatsApp templates and moving the business number, re-recording SMS templates where DLT registration applies, reconnecting website and marketplace enquiry feeds, and retraining a team that has muscle memory for the old screens. Most Indian SMB desks complete this inside a working day when someone has done the export homework first.
