Connect Xero to HelloGrowthCRM

Connects contacts and invoices to Xero (UK, AU, NZ, global) so finance and sales share one customer record and payment status.

Quick answer

Does closing a deal create a Xero invoice?

It can — won deals push to Xero as draft invoices with the contact, amount, and reference pre-filled, leaving finance a review-and-send step instead of data entry.

Overview

Xero is the accounting platform of choice across the UK, Australia, and New Zealand, with a strong global footprint. The HelloGrowthCRM integration connects contacts and invoices between the two systems so finance and sales share one customer record — sales sees invoice and payment status on the account, finance sees new customers arrive with clean details instead of retyped ones.

The workflow that pays for the setup: a deal closes won, and an invoice-ready record lands in Xero — right contact, right amount, right reference — without anyone re-entering data. From then on, invoice status flows back: sent, paid, overdue. Account owners chasing renewals or upsells know the payment picture before they call, and awkward "please pay us" conversations happen with full context.

What data is involved

  • CRM companies and contacts synced to Xero contacts, matched to avoid duplicates.
  • Won deals pushed as draft invoices or invoice-ready records with amount and reference.
  • Invoice status — draft, sent, paid, overdue — reflected on the CRM account timeline.
  • Payment received events able to trigger CRM workflows (thank-you, onboarding, next-step tasks).
  • Overdue invoices flaggable to account owners for context-aware follow-up.
  • Multi-currency invoices recorded with the deal's currency preserved.

Best practices

  • Nominate the CRM as the source of truth for customer contact details and let Xero receive them — two editable copies of an address always diverge.
  • Push won deals as draft invoices, not final ones, so finance keeps its review step while losing the retyping.
  • Surface overdue status on the account record and fold it into the account owner's follow-up — a friendly nudge from a known contact beats a dunning email.
  • Map Xero invoice references to CRM deal names consistently; future-you reconciling a dispute will be grateful.
  • Sync only what revenue teams use — contacts, invoices, payment status. Full ledger detail belongs in Xero.

Best for & common use cases

UK and APAC teams that standardize on Xero for bookkeeping.

  • Multi-currency quotes with Xero invoice follow-up.
  • Reconciliation of CRM won revenue with Xero invoices.

Expected outcomes

  • Faster lead handoff between tools and CRM owners
  • Cleaner activity history for follow-up and reporting
  • Lower manual copy-paste errors in the pipeline

Troubleshooting

  • Invoice creation fails: the Xero organisation's required fields (like account codes or tax rates) aren't mapped — set defaults in the integration mapping.
  • Duplicate contacts appearing: legacy duplicates existed in Xero before the sync — merge them in Xero; the match will hold afterwards.
  • Status updates lag: the OAuth connection to Xero expired (they require periodic reauthorisation) — reconnect from the CRM integration page.
