Quick answer

Is HelloGrowthCRM right for Commission Tracking?

Yes. HelloGrowthCRM gives Commission Tracking a single system to capture every lead, automate follow-up across phone, WhatsApp, and email, prioritise leads with AI scoring, and forecast revenue — with calling and messaging built in instead of sold as add-ons. It's built for the problems these teams actually hit — like commission is calculated in a spreadsheet at month end by copying deal data out of the CRM, which takes a day and still produces disputes — rather than generic sales busywork.
  • Commission rules held against the person, the product or the pipeline stage, so a senior rep, a new joiner and a channel partner can each earn on different terms
  • Percentage or flat-amount payouts, with the option to calculate on deal value, on margin, or on the invoiced amount rather than the value first entered
  • Running payout per rep that updates as deals move, so a rep can see what they have earned this month without asking anyone in finance

01

What commission tracking does inside a CRM

Commission tracking applies your incentive rules to the deals in your pipeline and keeps the result current. Instead of exporting data at month end and rebuilding the calculation, the payout is a property of the deal: this deal closed at this value, owned by this rep, under this rule, worth this amount.

That change of location matters more than it sounds. When the calculation lives where the deals live, it is visible to the person it affects, it updates when a deal is amended, and it reverses when a sale is cancelled. Most commission disputes are not about the rate. They are about a number that appeared with no working shown.

02

How it works, step by step

1. Write the rules

Define who earns what: a percentage of deal value, a flat amount per closed deal, different rates by product line, or a different rate for a rep still in their first six months. Rules can sit on the person, the product or the pipeline.

2. Choose the qualifying event

Decide when a deal earns commission: when it is marked won, when the invoice is raised, or when payment is received. This single setting determines whether your incentive scheme tracks cash or intention.

3. Let it calculate as deals move

As reps close deals, each qualifying deal is matched to its rule and added to that rep's running total. Splits are recorded on the deal, and manager overrides accumulate separately on the same underlying wins.

4. Review and approve the period

At month end a manager reviews the statement, checks exceptions, and approves. Approval locks the period so a later edit to an old deal cannot quietly change a figure that has already been paid.

5. Export for payroll

The approved period exports as one file for payroll or your accountant, with the qualifying deals listed behind each total for anyone who asks.

03

Who it is for

Sales teams paid partly on results, and the finance person who inherits the calculation. It is most useful for real estate and broking teams with split deals, insurance and lending distributors with product-wise rates, dealers and distributors paying on invoiced value, and services firms where a manager earns an override on their team.

04

What it replaces

A monthly commission workbook with a tab per rep. A WhatsApp thread where reps ask the finance executive where their payout stands. A manager's notebook that decides who gets credit for a shared deal. A payout paid on won deals that nobody reversed when the customer cancelled six weeks later.

Setup notes

Write the rules down in plain language before configuring anything; most teams discover their scheme has undocumented exceptions. Fix the qualifying event first, because changing it later reopens settled periods. Agree the split policy for sourced-versus-closed deals in advance. Run one month in parallel with your existing sheet and reconcile the difference line by line, then switch. Give reps access to their own statement from day one, because visibility is most of the value.

Challenges we solve

The problems holding this industry back — and the fix

Every team in this space loses revenue to the same recurring gaps. Here is what they cost you and how HelloGrowthCRM closes each one.

  • Commission is calculated in a spreadsheet at month end by copying deal data out of the CRM, which takes a day and still produces disputes.

The calculation runs on the deals themselves, continuously. Month end becomes a review and an approval rather than a data-entry exercise.Rules on live deal data

  • Reps have no idea what they have earned until they are told, so the incentive stops influencing behaviour halfway through the month.

Each rep sees a running payout and the deals behind it. An incentive that is visible in week two can still change what a rep does in week three.Live payout per rep

  • Commission is paid on deals marked won, then a customer cancels and nobody reverses anything because the payout has already gone out.

Choose whether commission qualifies on won, invoiced or paid, and let clawbacks reverse the amount automatically when a deal is cancelled or refunded.Qualifying event and clawback

  • Two reps both claim the same deal because one sourced it and the other closed it, and the manager settles it from memory.

Splits are recorded on the deal when the work happens, with each share visible to both people. The conversation happens once, at the right time.Split commissions

What you get

Why teams choose HelloGrowthCRM

AI-powered CRM with the features you need to close more deals.

  • Split commissions between two or more people on one deal, recorded as a share on the deal itself so a joint win does not become an argument later
  • Team or manager overrides calculated on the deals their reporting line closes, kept separate from individual earnings in the same report
  • Payout triggered by the event you choose: deal marked won, invoice raised, or payment received, which is the setting that decides whether commission tracks cash or optimism
  • Clawback handling for cancelled or refunded deals, so a reversed sale removes the commission it created instead of quietly leaving it in the total
  • Period locking once a month is approved, so a late edit to an old deal cannot silently change a statement that has already been paid
  • Statement view per rep listing every qualifying deal, the rule applied and the amount, which turns a payout dispute into a two-minute check
  • Leaderboard by earned commission or by closed value, visible to the team where you want the transparency and hidden where you do not
  • Manager approval before a period is released, with a record of who approved which figures and when
  • Export of the approved period for payroll or accounts, so finance receives one file rather than five differently formatted sheets
