Policy Documents and Quotes Kept on the Client's Own Record

An insurance case is a paperwork case. A motor renewal wants the registration copy and last year's policy. A health proposal wants KYC, a signed proposal form and often a medical report. A group placement waits on an employee data sheet that changes three times before anyone calls it final. When those files live in a chat thread, an inbox and somebody's laptop, the case does not wait on the insurer. It waits on whoever can find the attachment.

The case that stalls on one missing attachment

Ask any broking desk what killed a case and the answer is rarely price. A proposal is complete except for an address proof. It was requested on Monday, the client sent it to a personal number on Wednesday, and by Friday nobody can say whether it arrived. Two weeks pass, the quote expires, and the whole comparison has to be gathered again from the beginning.

The cost repeats at renewal and at claim. A client asks for a copy of the policy issued last year, or the endorsement raised when he changed his address, and the agency searches email. Worse, when an executive leaves, the folder of client paperwork on their laptop leaves too, and for KYC and medical documents that is a problem well past inconvenience.

One record holding everything the case needs

The previous policy copy, the registration book, KYC, the signed proposal form, the comparison sheet shared with the client, the issued policy PDF and any endorsement all attach to the case they belong to. Access follows role permissions, so an executive sees the accounts they service, not the whole book. A stage can be made to require a document before the case may move on.

Field staff photograph a signed form at the client's premises and it lands with the client, case and timestamp attached. Where your agency charges a fee for its own services, the GST invoice sits on the same record. The CRM holds the paperwork around the case; the insurer's portal remains the source of the contract.

A family health proposal waiting on two files

A health proposal for a family of four is complete except for two documents.

  1. 1The case cannot leave the documents pending stage until the KYC and the signed proposal form are on the record.
  2. 2The request goes out as a checklist rather than as a message somebody has to compose from scratch.
  3. 3The client photographs both and they attach against the case, where the executive checks them for legibility before the stage moves.
  4. 4On issuance the policy PDF and schedule join the same record, which is where they will be looked for at renewal and again at claim.
