The message pad at the front desk
A property has one number that everything arrives on: a guest asking about an airport pickup, a bride's father asking about a lawn for four hundred, a coordinator checking whether the corporate rate still stands. Whoever picks up writes a name and a number, and the sales desk hears about the banquet enquiry whenever the note reaches them, which may be after the shift has changed.
The outbound calls are worse. A proposal goes out for a conference and the chase depends on the coordinator remembering to ring on day three. Corporate renewals need a real conversation with the travel desk rather than an email, and no list exists of which accounts were actually spoken to this month. Nobody can say how many of last week's enquiries were called back at all, because the calls were made on personal handsets and left no trace anywhere near the enquiry record.
Every call attached to the enquiry it belongs to
Calls placed from an enquiry, an account or a deal log against that record with time, caller and duration, and close with an outcome code: connected, no answer, call back later, booked elsewhere. The cloud dialer records the conversation; calls made through SIM-based Android calling log metadata reliably and capture audio only where the handset permits. Each call requires a next action before it closes, which is how a banquet enquiry ends up with a dated callback. Call lists build from any filter, including proposals sent last week and contracts expiring this quarter.
More on the capability itself: Built-in Dialer. More on this industry: CRM for hotels.
Clearing yesterday's unreturned enquiries
The banquet coordinator starts the morning with a filtered list instead of the message pad.
- 1Filter to enquiries created in the last twenty-four hours with no logged call against them.
- 2Click to call from each record, with date, pax and source already visible on screen.
- 3Log the outcome; a no-answer schedules the retry, a connect creates the site inspection task.
- 4By ten o'clock the list is empty and the sales head can see connect rates by person for the week.
