Estimate, quotation or bill: which one are you writing?
People search for an estimate bill format because in everyday trade the three words are used as if they meant the same thing. They do not, and mixing them up is where most billing disputes begin.
- An estimate is your best approximation of a cost that cannot be fixed yet. It may change, and it must say so.
- A quotation is a fixed price for a defined scope, valid until a stated date. Formats are on the quotation format page.
- A bill, for a GST registered business, is the tax invoice issued when the goods are sold or the work is done. It is the only one of the three that is a legal record of a sale.
Write an estimate when you honestly cannot know the final figure: a repair before the machine is opened, painting before the walls are scraped, catering before the guest count is final. If you can fix the price, send a quotation instead. It wins more work, because customers prefer certainty.
