Quick answer

What does a telecaller job description include?

A telecaller job description states the purpose of the role, the kind of calls, inbound or outbound, the daily responsibilities, the languages and skills required, shift timings, the software used, who the telecaller reports to, and how performance is measured, usually by conversations, outcomes logged, callbacks kept and conversions. A specific description attracts fewer and better applicants than the usual line about good communication skills.
  • Copy the full template below, or download it as a Word file
  • Put the performance measures in the job description, so targets are agreed before joining
  • Screen by phone first: the job happens on the phone

03

Responsibilities, explained for the hiring manager

Speed on new enquiries

The most valuable line in the description is the one about calling new enquiries fast. Interest fades within hours. Put a number in it and measure it.

Logging as part of the job, not an extra

If logging is described as admin, it will be done at the end of the shift from memory. Describe it as the last step of every call.

Callbacks

Customers notice reliability before anything else. A kept callback is often the reason a small business wins against a bigger one.

Compliance

Name it in the description so it is not a surprise later. The principles are set out in NDNC and telecalling rules in India.

04

Performance measures to put in the job description

Agreeing the measures before someone joins removes most later arguments about targets. Use your own team's averages to set the numbers.

MeasureWhat it showsHow to use it
Calls attempted per dayEffortSet from a measured week of your own team, never from a generic figure
Connect rateList quality and call timingReview the list or the calling hours if it falls
Conversations per dayReal exchanges with a customerThe number that best predicts results
Outcomes loggedShare of calls with a specific resultShould be every call
Callbacks kept on timeReliabilityShould be close to every callback
ConversionsAppointments, sales, payments or renewalsThe reason the role exists
Call quality scoreAccuracy, courtesy and compliance on sampled callsScored by the team leader each week

These can only be measured if calls are made from a system that records them. With personal mobiles and a spreadsheet, every number above is self-reported.

05

Screening: hear the voice first

  1. Ten minute phone screen. Before any face to face meeting. You are listening for clarity, pace, warmth and whether the candidate listens to the question.
  2. Language check. Switch languages during the call, the way a customer would.
  3. Two minute role play. Give a one paragraph brief about your product, then play a customer who says it is too expensive.
  4. Typing while talking. Ask the candidate to note three details you mention and read them back.
  5. Reference for reliability. Attendance and follow-through matter more in this role than brilliance.
06

Interview questions that reveal something

  • Tell me about a call that went badly. What did you do in the next five minutes?
  • A customer says send details on WhatsApp and I will call you. What do you do?
  • How do you keep track of people who asked you to call back?
  • What do you do when a customer asks something you do not know?
  • A customer is rude and abusive. How do you end the call?
  • What did your last team leader measure, and which number were you best at?
  • You have forty leads and three hours. How do you decide whom to call first?
  • Why do you want a job that involves hearing no all day?

Follow with the role play. Scripts you can use for it are in telecalling scripts for India, or draft one in a few minutes with the call script builder.

07

The first thirty days

Telecallers who leave early often do so after a first week that had a list, a script and no structure. This plan fits on one sheet.

WhenWhat happens
Days 1 to 3Product and customer training. Listen to ten recorded calls, good and bad. Learn the CRM: finding a lead, logging an outcome, setting a callback.
Days 4 to 7Role plays with the team leader using the real script. First live calls on older, low-risk leads, with the team leader listening.
Week 2Full call queue at half the normal target. Two calls reviewed together every day. Objection responses practised aloud.
Weeks 3 and 4Normal queue at three quarters of target. Two reviewed calls a week. First review of numbers against the measures in the job description.
Day 30Formal review: what is going well, one skill to work on, and the full target from month two.

Writing the advert: four things to leave out

Age and gender

Neither has anything to do with the work. Describe the shift and the languages, and let applicants decide.

Good communication skills, with nothing else

Every advert says it. Say in which languages, and on what kind of call.

Unlimited earning potential

Experienced applicants read this as low fixed pay. State the fixed salary and explain the incentive.

Any request for money from the applicant

Registration fees and security deposits are a mark of fraudulent job offers. A genuine employer never asks an applicant to pay, and saying so in your advert builds trust.

09

Give the new hire a system, not a spreadsheet

A good job description sets expectations. A good system makes them achievable. With HelloGrowthCRM a new telecaller opens a sorted queue, calls from the built-in dialer, picks an outcome and moves on, while the team leader sees every measure in the table above without asking. It is the setup described on our telecalling CRM page, and the wider operating model is in the telecalling operations guide. For the role from the applicant's side, see telecaller meaning and telesales meaning. Paid plans start at ₹899 per user per month and there is a free plan. See India pricing.

Challenges we solve

Why telecaller hiring goes wrong, and the fix

Four hiring problems that a better job description and a better first month solve.

  • The advert says telecaller wanted, good communication skills, and attracts two hundred applicants of whom five are suitable.

Say what the calls are about, in which languages, inbound or outbound, the shift, and how performance is measured. A specific advert filters before you do.Specific job advert

  • Candidates interview well in person and then freeze on the phone, which is the only place the job happens.

Make the first round a ten minute phone call and include a short role play. You are hiring a voice, so hear it.Phone-first screening

  • Targets are set as a number of calls a day, new joiners hit them with short useless calls, and nothing is sold.

Write targets for conversations, outcomes logged, callbacks kept and conversions alongside dials, and put them in the job description so they are agreed from the start.Balanced targets in the JD

  • Good telecallers leave within three months because the first weeks were a list, a script and no feedback.

Plan the first thirty days: product training, listening to good calls, supervised calling, and two reviewed calls a week. The plan on this page fits on one sheet.Thirty day plan

What you get

Why teams choose HelloGrowthCRM

AI-powered CRM with the features you need to close more deals.

  • New telecallers get a sorted call queue on day one, so they spend their first week talking to customers instead of learning a spreadsheet
  • The script and the customer's history sit beside the call, which shortens the time it takes a new joiner to sound confident
  • Every call is logged automatically from the built-in dialer, so the targets in your job description can actually be measured
  • Outcomes come from a fixed list you define, which keeps data consistent across old and new team members
  • Callbacks agreed on a call turn into reminders, so reliability does not depend on each person's diary
  • Call recordings, where consent applies, give you real material for the weekly coaching the role needs
  • Team leaders see calls, connects, talk time, outcomes and conversions for each telecaller, live
  • Leads can be assigned by rule, such as language, product or city, so each telecaller works the list they are best suited to
  • WhatsApp follow-up from the same screen lets telecallers send details while the customer is still on the line
  • A free plan for one user lets you set up the lead list, pipeline and follow-up tasks before paying for the team
