Quotation Management for Hospitality

Quotation Management for Hospitality: Holds That Get Released and Dates That Get Sold

Hotels do not sell products, they sell dates that expire whether or not anyone buys them. A tentative hold with no option date is the most expensive line item in most banquet sales operations.

Quick answer

Is HelloGrowthCRM right for Quotation Management for Hospitality?

Yes. HelloGrowthCRM gives Quotation Management for Hospitality a single system to capture every lead, automate follow-up across phone, WhatsApp, and email, prioritise leads with AI scoring, and forecast revenue — with calling and messaging built in instead of sold as add-ons. It's built for the problems these teams actually hit — like space is held tentatively for a client who never confirms, and the date sells out for everyone else while the hold sits there — rather than generic sales busywork.
  • Proposals that are anchored to specific dates rather than to a customer, because in hospitality the inventory being sold is a date, and two enquiries for the same Saturday are competing for one thing rather than sitting side by side in a pipeline
  • Tentative holds recorded with an option date and an automatic reminder, so blocked space and blocked rooms are either converted or released on a known day instead of quietly sterilising high-demand inventory
  • Room block proposals showing the night-by-night pattern, the category mix and the rate per category, since a block that peaks on two nights and thins on the others is a different commercial proposition from a flat one

01

The thing being quoted is a date

Most industries quote for a product or a service that can be produced again next week. A hotel quotes for the eleventh of December, and if the eleventh of December passes unsold, that inventory is gone permanently. Everything distinctive about quotation management in hospitality follows from that single fact.

It means proposals belong to dates and spaces rather than only to customers. It means two enquiries can be in perfect commercial health and still be mutually exclusive. It means a courtesy hold has a real cost measured in displaced business. And it means that the most important field on a hospitality proposal is not the rate but the date on which the client must decide.

02

Tentative, definite, and the option date in between

Sales teams block space for enquiries that feel promising. It is good service and it is also how peak dates get quietly sterilised by enquiries that were never going to close. The hold sits there, nobody is chasing it because nobody was rejected, and by the time it lapses the alternative business has booked elsewhere.

The discipline is simple and rarely applied consistently: every tentative hold gets an option date, the client is told it, and a reminder fires before it. On the option date the enquiry either becomes definite with a signed proposal and a deposit, or the space is released and the next enquiry gets a straight answer. Both outcomes are better than a hold that expires by drift.

03

Covers, guarantees and the number the client is actually buying

Banquet business runs on the minimum guarantee, and the minimum guarantee is routinely confused with the expected attendance during a friendly enquiry conversation. A client planning for a hundred and twenty guests hears a per-plate figure and mentally multiplies by the number who will actually walk in. The venue is quoting against a guarantee count that will be billed regardless.

Stating both numbers on the proposal, in separate fields with a line explaining the difference, converts an argument at settlement into a decision at booking. The client can then choose their guarantee deliberately, which is what the mechanism is for, and the venue can plan food and staffing against a number somebody committed to.

Seasonality means a rate is only true for a date

A hotel rate is not a price list entry, it is a function of the date, the day of the week, the season, local demand and how the property is already filling. The same ballroom on a December Saturday and a July Tuesday are different businesses. The person quoting needs to see that context at the moment of quoting, otherwise the hotel ends up giving away its best dates at soft-season rates because a rate was remembered rather than looked up.

The same logic governs approvals. Who may discount is a hotel policy, and the useful record is not just the discount but the displacement accepted with it: which date, which space, what else was being turned away. A concession on a quiet Tuesday and the identical concession on a peak date are not comparable decisions and should not look identical in a report.

06

Revisions, because nothing about an event stays still

Guest counts move. Dates shift by a week. A menu is upgraded, then trimmed. A room block halves when the client budget lands. Each of these should produce a new version with the reason recorded, particularly where a change crosses a threshold, such as a guest count dropping below the minimum guarantee or a block reduction entering an attrition slab. Clients accept those consequences readily when they can see which change triggered them.

07

Follow-up that people actually respond to

Two touches do most of the work. The first is the option date reminder, which is welcome rather than pushy because it is a factual notice about availability. The second is an invitation to experience the venue, whether that is a site inspection, a tasting or a walk-through of the space set up as it would be. Banquet decisions in particular are made in the room, not on the proposal, and a sales file with no visit recorded is usually a file that is going to lose.

08

Where the booking goes next

A signed proposal or event order with the agreed advance converts the hold into a confirmed booking, and the record moves stage with the accepted version, the guarantee and the payment schedule attached. Everything operational then belongs elsewhere: reservations and room allocation, function sheets on the day, guest folios, restaurant and bar billing, tax, night audit and your accounts stay in the property management, point of sale and accounting systems that already run the property. What remains here is the record of the enquiry, the hold, the versions and the reason the dates you lost were lost.

Challenges we solve

The problems holding this industry back — and the fix

Every team in this space loses revenue to the same recurring gaps. Here is what they cost you and how HelloGrowthCRM closes each one.

  • Space is held tentatively for a client who never confirms, and the date sells out for everyone else while the hold sits there.

Every tentative hold carries an option date with a reminder before it, so the space is either converted or released on a decision that somebody actually made.Option dates on holds

  • A banquet client expects to pay for the eighty guests who turned up, and the hotel expected to bill the hundred and twenty covers on the minimum guarantee.

The minimum guarantee is stated as its own field alongside the expected count, so the number being committed to is unmistakable at proposal stage.Guarantee versus expected count

  • A group reduces its room block three weeks before arrival and there is no agreed position on what that costs.

Attrition and cancellation slabs by proximity to the date sit on the proposal, so a reduction is settled by a term rather than by a negotiation under time pressure.Proximity-based slabs

  • Two enquiries for the same peak Saturday are worked independently by two sales people, and the hotel ends up committing the same space twice.

Proposals are anchored to dates and spaces, so competing enquiries for the same inventory are visible to both the team and the person approving the rate.Date-anchored proposals

What you get

Why teams choose HelloGrowthCRM

AI-powered CRM with the features you need to close more deals.

  • Banquet proposals built from menu package per cover, minimum guarantee covers, venue rental, beverage arrangement, audio visual, décor and any extension charge, with each line visible rather than merged into a per-head figure
  • Minimum guarantee stated explicitly alongside the expected count, because the guarantee is the number the client is committing to pay for and the two are almost always confused during the enquiry conversation
  • Attrition and cancellation terms expressed as a slab against proximity to the arrival or event date, so a reduction six weeks out and a reduction six days out are governed by terms both sides agreed in advance
  • Rate calendar awareness on the proposal, with seasonality, high-demand dates and blackout periods reflected in the quoted figure and the reason visible to the person quoting rather than buried in a revenue system
  • Corporate rate agreements held as their own record with the negotiated rates, the volume expectation, the room-night period covered and the review date, separate from the transactional group proposals that sit under them
  • Version history when the guest count, the date, the menu or the block size changes, which in this industry is almost every enquiry, with the reason recorded against each version
  • Deposit and payment milestone schedules on the proposal, distinguishing the advance that converts a tentative hold into a confirmed booking from the balance due before the event or arrival
  • Site inspection and menu tasting visits tracked against the proposal, since these are the events that actually decide banquet business and are frequently the last thing anybody schedules
  • Conversion reporting by date, space and segment, so a hotel can see which enquiries it lost on rate, which on availability and which simply expired on the option date without anyone calling
