During audit and filing periods an accounting team barely sees its own desks. Staff are in client accounts rooms, factory offices and back rooms behind shops, asking for records that are always half ready and being promised the rest by Friday.
The visit note
What matters is not a narrative of the day. It is who was met, which records were produced, what is still missing, and the date the client committed to. Four things, recorded before leaving the premises, and the chase becomes a task instead of a grievance.
The document chase
Every practice loses days to this. The chase happens across a dozen WhatsApp threads on different personal phones, so nobody can answer the only question that matters: which clients are holding up which work, and for how long.
The fee conversation
Additional work appears in every engagement, and it is usually discussed in a corridor and never written down. Recorded on the client record when it happens, it becomes a fee discussion. Left unrecorded, it becomes unbilled work.
