How to track leads and sales in Excel
What does this tool do?
This is a free, ready-made Excel template for tracking leads and deals. It comes with the columns a small sales team actually needs — lead name, company, stage, deal value, next follow-up and owner — plus live formulas that turn a phone number into a WhatsApp chat link and flag any follow-up that is overdue.
Why does it matter?
Most small businesses start with a spreadsheet, and there is nothing wrong with that — until the spreadsheet is a blank sheet with no stages, no follow-up dates, and no way to see what is slipping. This template gives the structure that a scribbled sheet lacks, so leads stop falling through the cracks while you are still small enough to run on Excel.
Definition
A CRM Excel template is a spreadsheet pre-built to track the sales pipeline: one row per lead, columns for the deal's stage and value, and the next action. A good one makes the next follow-up obvious and the overdue ones impossible to miss.
Assumptions
- You will open it in Excel, Google Sheets or any compatible spreadsheet app
- Phone numbers are entered with a country code for the WhatsApp link to work
- One person or a small team maintains the file
How do you interpret your results?
Sort or filter the Status column to see what is OVERDUE first — that is your call list for today. When two or more people need to edit the same leads at once, or you want reminders to send themselves, that is the point to move off the spreadsheet.
How can you improve your numbers?
Add a payment column
Track invoice and payment status next to the deal so cash and pipeline live together.
Colour the stages
Apply conditional formatting to Stage so the pipeline is readable at a glance.
Graduate to a CRM
Import the sheet into HelloGrowthCRM to get reminders, call logging and a shared view.
Download your lead tracker
One Excel file, three sheets: a Leads tracker with live formulas, a How-to sheet, and an Import map that lines the columns up with HelloGrowthCRM.
Nothing is sent anywhere — the file is built in your browser when you click.
What's inside the Leads sheet
13 columns, including two live formulas — a WhatsApp chat link and an auto-calculated follow-up status.
| Lead | Company | Stage | Deal value | Status |
|---|---|---|---|---|
| Anjali Mehta | Glow Salon | New | ₹2,400 | On track |
| Ramesh Traders | SteelLine | Quote sent | ₹85,000 | Due soon |
| Apex Classes | Apex | Negotiation | ₹12,000 | OVERDUE |
How to use this
Rules
- Replace the three sample rows with your leads — keep the header row.
- Put the phone number with country code and no symbols (e.g. 919812345678); the WhatsApp column becomes a one-click chat link.
- Set Next follow-up to a date; Days to follow-up and Status fill in automatically.
- Status reads OVERDUE once a follow-up date passes, Due soon within two days, On track otherwise.
- Use the Import map sheet to move the tracker into HelloGrowthCRM when it outgrows a spreadsheet.
What this does not cover
- A spreadsheet does not send reminders or log calls on its own
- It has no shared, real-time view for a team

What the Free CRM Excel Template does
This is a free, ready-made Excel template for tracking leads and deals. It ships with the columns a small sales team actually needs — lead name, company, stage, deal value, next follow-up and owner — plus live formulas that turn a phone number into a one-click WhatsApp chat link and flag any follow-up that is overdue. Download it, replace the sample rows, and you are tracking.
Most small businesses start with a spreadsheet, and there is nothing wrong with that. The problem is the blank page: a sheet with no stages, no follow-up dates and no owner column quickly becomes a list nobody trusts. This template supplies the structure a scribbled sheet lacks, so leads stop slipping through the cracks while you are still small enough to run on Excel.
It is for founders and small teams graduating from memory and sticky notes — more inbound leads than time, and no CRM yet. When the sheet outgrows itself, the built-in Import map lines every column up with HelloGrowthCRM so moving across is a copy, not a re-entry.
How to use the CRM Excel template
Download the file
Click Download Excel — the .xlsx is built in your browser, with no email or sign-up. It opens in Excel, Google Sheets or LibreOffice.
Add your leads
Replace the three sample rows with your own, keeping the header row. Enter phone numbers with a country code so the WhatsApp link works.
Set follow-up dates
Fill in Next follow-up for each lead. The Days-to-follow-up and Status columns calculate themselves.
Work the Status column
Sort or filter by Status to see OVERDUE leads first — that is today's call list. When the sheet starts to strain, use the Import map tab to move into a CRM.
Reading the Status column
OVERDUE
The follow-up date has passed. These are the leads leaking revenue right now — call them first.
Due soon
A follow-up is due within two days. Plan these into your day so they never become overdue.
On track
The next follow-up is scheduled and in the future. Nothing to do yet — the sheet is watching it for you.
Two editors at once
If more than one person needs to edit the same leads simultaneously, or you want reminders to send themselves, the spreadsheet has done its job — import it into a CRM.
Real-world examples
A solo founder running on sticky notes
Replaces scattered notes with one sheet: every lead, its stage, and the next follow-up date — and a Status column that surfaces what is overdue without any manual checking.
A two-person sales team
Shares the file until they start overwriting each other's edits — the clearest signal it is time to import the tracker into a shared CRM via the Import map sheet.
A service business chasing quotes
Uses the WhatsApp column to message leads in one tap from the sheet, and the overdue flag to make sure no quote is left without a follow-up.
