Work backwards from your jobs, not your headcount. If your work is callouts, service jobs and small installs, and your materials go straight from the wholesaler to the site, Tradify does everything you need and you can start tomorrow. Quotes, invoices, timesheets and a clean sync to Xero or MYOB, all for a price you can read on a website. Most AU and NZ trade businesses under about fifteen staff sit here comfortably. Move to Simpro when the stock is the problem. If you are carrying van stock across five utes, tendering staged commercial work with progress claims, running planned maintenance contracts, or trying to work out why a job that quoted at 30 percent margin came in at eight, Tradify runs out of room. Simpro is built for exactly that, and the depth is real. Just budget honestly. Reported implementation fees start in the thousands, multi-year contracts are common, and there is no free trial to hide behind. Ask for a full first-year cost including onboarding, modules and every seat type before you sign. If that number scares you and your stock problem is mild, stay on Tradify another year.
Different products for different stages. Tradify wins on price transparency, speed to start and how easily field staff adopt it. Simpro wins on stock, projects, maintenance contracts and reporting depth, and it is the only one of the two that handles staged commercial work properly. The switch is usually forced by inventory or project complexity, not by headcount alone. Do not pay for Simpro's depth until you actually need it.
If neither Tradify nor Simpro fully fits
Neither of these fixes the leads you never got back to. Both start at the job. HelloGrowthCRM works earlier: pipeline and lead management, a quote builder, invoicing, a built-in dialer with call recording, AI lead scoring, email sequences and SMS, from about $12 per user a month or $10 annually, with a free forever plan. Say it straight, though. It is a sales and follow-up CRM, not job management. There are no scheduling boards, no timesheets and no materials costing. Trade businesses use it alongside a job tool when the real leak is quotes going cold.
