Overview
Gmail and Google Workspace inbox sync keeps customer conversations on the lead and contact record—so reps and managers see the same thread history without switching to another tab. This is separate from marketing tools like Mailchimp: here the CRM is attaching operational email (replies, proposals, follow-ups) to revenue records. Workspace admins should review OAuth app allowlists and scope policies before rolling out org-wide.
What data is involved
- Email metadata and body (per your sync settings), linked to CRM contacts and opportunities.
- Sent and received messages when the address matches a known record or domain rules you configure.
- Identity via Google account; Workspace users may connect individual or delegated mailboxes depending on product settings.
Step-by-step setup
Sign in or sign up at HelloGrowthCRM. Open the login page, enter your credentials (or use Google), or choose Sign up if you need a new account. You must be signed in before you can open Settings and connect this integration.

Open Settings (Integrations)(opens in a new tab)app.hellogrowthcrm.com/settings
- Open Settings → Integrations → Gmail (or Google Workspace / Email).
- Sign in with the Google account to connect; a Workspace admin may need to allow the CRM app in the Google Admin console.
- Accept the requested OAuth scopes for mailbox sync or send-as shown in the app.
- Confirm folder or label behavior, then send or receive a test message and verify it appears on a CRM record.
Best practices
- Train reps to log first touch from CRM when possible so matching is consistent.
- Document which mailboxes are connected (personal vs role-based) to avoid duplicate logging.
- Coordinate with IT on Google Workspace Marketplace or OAuth consent screen branding for trust.
Best for & common use cases
Teams that live in Gmail or Google Workspace and want customer conversations next to pipeline and tasks.
- Shared account visibility when multiple reps email the same prospect.
- Faster handoffs—history stays on the contact without forwarding long threads.
FAQ
Governance
Treat API keys and webhooks as production secrets. Align field mapping with your privacy policy and regional regulations (GDPR, marketing consent, telemarketing rules). Your admin controls which roles can install or edit integrations.
